This guide walks you through the steps of creating, viewing, and publishing schedules within Time by Wagepoint's web platform, ensuring smooth operations and seamless communication with your employees.
Access your schedule
Access your schedule by navigating to Schedule > Scheduler.
Filtering and viewing options
The default view shows the current week, but you can easily switch to other weeks using the navigation arrows or by selecting dates directly from the calendar view.
- Employees: See all employees' schedules by default. Filter by individual employees using the employee filter box.
- Jobs: Use the Group by job toggle to group the schedule by job type.
- Views: Choose from three different views:
- Schedule view: The traditional calendar view.
- Timeline view: A visual representation of employee schedules over time.
- List view: Displays a detailed list of scheduled events.
- Locations: View the schedule for all locations or focus on a specific location from your preset options.
Creating new events
1. On the Scheduler page, use the employee rows and date columns to locate the relevant cell and click + to add a new event. You may need to hover your mouse over the table for the + to appear.
2. In the Event type window, add the relevant details:
- Event type: Select the type of shift entry you are creating from the dropdown menu:
- Regular Shift: A scheduled shift for a specific person at a designated time.
- Open Shift: A shift available for any employee to pick up.
- Unavailable Time: A period when a specific individual is unavailable for scheduling.
- Paid Time Off: Compensated time an employee has earned and is taking off.
- Holidays: Company-recognized holidays where employees are given time off.
- Date: The default date from the calendar view will be shown. Edit if needed.
- Location: Select the location for the shift. Leave this blank to remove any location association with the entry.
- Job: Select a job title for the shift. Leave this blank to remove any job title associated with the entry.
- Employees: Select the employee(s) who will be scheduled for this shift. You can select multiple employees.
- Hours: Enter the start and end times for the shift. Toggle between AM and PM as needed.
- Ends next day: Check this box if the shift is a one-day only event. If it's a recurring event, select More to see more options.
- Repeats on: Select the days of the week on which the event will repeat.
- Repeat: Determine how frequently the event repeats. If it repeats beyond the specified period, use the calendar to set end date.
- Shift notes: Add any notes that you'd like to be associated with this event.
3. Click Save to add the new event to the schedule.
Keep in mind that your new event will not be visible to employees until the schedule is published.
Publishing your schedule
After creating your schedule, you can publish it for your employees to see. Published schedules appear within their Time by Wagepoint accounts and can be synced with other calendars as desired.
1. On the Scheduler page, click Publish.
2. In the confirmation window, select the notification option that best suits your needs:

- Employees: This sends a notification only to new employees.
- Employees and admin: This sends a notification to both employees and administrators.
- Don't notify anyone: This publishes the schedule without sending any notifications.

Yes, you can create split shifts within Time by Wagepoint!
- Navigate to the calendar: Open your desired date in the Time by Wagepoint calendar view.
- Click on the day box: Locate the day box corresponding to the shift you want to split and click inside it.
- Add a New Event: A new event window will appear. Enter the details for your first shift portion (start time, end time, employee, etc.).

Add another shift: Repeat steps 2-3 to add a second event for the same day, representing your second shift portion.
Note: If you attempt to create overlapping shifts, Time by Wagepoint will display a warning asking for permission to continue. This ensures that scheduling conflicts are minimized and avoids any potential confusion.
